Why Maintenance Matters More Than You Think
Laptops are sophisticated devices that operate in demanding environments. They handle heat, movement, dust, and pressure on a daily basis. Unlike desktop computers that sit in a climate-controlled tower, laptops are exposed to everything from coffee shop tables to backpacks and airplane tray trays. Over time, that exposure takes a toll — not just on the exterior, but on internal components that determine how well your machine performs.
At Repair My PST, a significant portion of the machines we see come in with problems that could have been entirely prevented with simple, consistent maintenance habits. We're not talking about technical overhauls. We're talking about things like cleaning the keyboard once a month, adjusting how you store your charger, or choosing the right surface to work on. These small decisions compound over time.
1. Keep the Vents Clear and the Interior Clean
Thermal management is one of the most overlooked aspects of laptop care. Every modern laptop contains a fan or fans that draw cool air through vents, pass it over the processor and GPU, and exhaust hot air out the other side. When those vents become clogged with dust, lint, or pet hair, the system can no longer cool itself efficiently.
The consequences are significant. Processors will throttle their speed to generate less heat — a process called thermal throttling — meaning your laptop runs slower than its hardware should allow. Prolonged overheating can degrade the thermal paste between the processor and its heat sink, leading to permanent performance loss. In severe cases, it contributes to premature component failure.
Practical Tip
Use a can of compressed air every three to four months to blow dust out of your laptop's exhaust vents. Do this outdoors or over a trash can. Never use a vacuum cleaner directly on the vents — the static charge can damage internal components.
If your laptop is more than two or three years old and you've never had it opened and cleaned internally, consider bringing it in for a professional deep clean. Technicians can safely remove the bottom panel, clean the fan blades, reapply thermal paste, and restore proper airflow. Many customers notice a dramatic improvement in performance and a reduction in fan noise after a thorough internal cleaning.
2. Practice Good Battery Habits
Lithium-ion batteries — the type found in nearly all modern laptops — are electrochemical devices with a finite number of useful charge cycles. Every full discharge and recharge represents one cycle. Most laptop batteries are rated for somewhere between 300 and 1,000 cycles before capacity begins to noticeably degrade.
The good news is that battery longevity is highly sensitive to how you use it. You can meaningfully extend the useful life of your battery by following a few evidence-based practices.
- Avoid full discharges when possible. Repeatedly draining a lithium-ion battery to zero stresses the cells and reduces capacity faster than partial discharges do. Try to plug in before you hit 20%.
- Don't keep it at 100% indefinitely. Similarly, keeping a lithium-ion battery at full charge for extended periods — such as always leaving your laptop plugged in — can cause a different type of cell stress. Many modern laptops include a "battery care" or "battery conservation" mode in their settings that caps charging at 80% to reduce this wear.
- Keep it cool. Heat is a battery's worst enemy. Don't use your laptop on soft surfaces like beds or couches that can block ventilation and trap heat against the battery. Avoid leaving your laptop in a hot car.
- If storing long-term, charge to around 50%. If you're putting a laptop away for more than a few weeks, charge it to approximately 50% before storage rather than 100% or 0%.

3. Keep Your Software Clean and Updated
Physical maintenance matters, but the software environment your laptop operates in is just as important. Over time, software accumulates in ways that slow systems down: applications you no longer use, startup programs you never enabled, browser extensions that consume memory, and files scattered across your drive.
Operating System Updates
Operating system updates are not just about new features. The majority of updates include security patches that close vulnerabilities discovered in previous versions. Running an outdated OS leaves your device exposed to threats that were fixed months or years ago. Set your OS to update automatically, or at minimum review and apply updates monthly.
Driver Updates
Hardware drivers — especially graphics drivers — are updated regularly by manufacturers to fix bugs, improve compatibility, and sometimes improve performance. If you notice display issues, audio problems, or connectivity quirks, outdated drivers are often the first place to look.
Managing Startup Programs
Every application you install has the potential to add itself to your startup sequence. Over time, this adds up to a boot process that drags on for minutes instead of seconds. On Windows, you can manage startup programs in Task Manager under the Startup tab. On macOS, check System Settings → General → Login Items. Disable anything you don't need running immediately when you log in.
Practical Tip
Avoid installing software from unknown sources. Stick to official websites, the Microsoft Store, or the Mac App Store when possible. Many performance problems we see stem from bundled software that came with a third-party download.
4. Protect the Keyboard and Screen
The keyboard and screen are the components most likely to suffer physical damage, and they are also among the more expensive components to replace. Proactive protection pays off.
Keep food and liquids away from the keyboard. Even small spills can cause corrosion on the keyboard's circuitry and, if liquid reaches the motherboard, far more extensive damage. If you do experience a spill, power down immediately, disconnect power, turn the machine upside down to let liquid drain, and bring it to a technician as soon as possible. Time matters — the longer liquid sits on components, the worse the corrosion.
For the screen, use a microfiber cloth for cleaning rather than paper towels or clothing, which can scratch the anti-reflective coating. Apply screen cleaner to the cloth rather than directly to the screen. Avoid pressing hard on the screen — laptop displays are designed to be viewed, not touched firmly, and excessive pressure can cause pixel damage or distort liquid crystal displays.
5. Store and Transport Properly
How you carry and store your laptop has a larger impact on its longevity than most people realize. Laptops contain spinning hard drives (in older models), solid-state drives with soldered connections, and other components that can be damaged by impact, vibration, or pressure.
- Use a proper laptop bag or sleeve. A padded sleeve or a bag with a dedicated laptop compartment provides cushioning against bumps and drops. Tossing a laptop loose in a backpack with heavy books or a water bottle is a recipe for a cracked screen or a damaged port.
- Never place heavy objects on top of a closed laptop. The pressure can crack the screen, warp the chassis, or damage the hinges.
- Close the lid properly. Grab the center of the lid with both hands when opening or closing to avoid placing stress on the hinges. Single-corner opening is one of the most common causes of hinge damage we see.
- Shut down before packing when possible. While sleep mode is convenient, shutting down fully before putting a laptop in a bag prevents the possibility of it waking up inside a confined, unventilated space and overheating.
6. Manage Storage Thoughtfully
A full or nearly full storage drive creates problems that affect the entire system. Operating systems require a buffer of free space to operate efficiently — for temporary files, virtual memory, and system operations. When a drive is filled to capacity, performance degrades noticeably and some systems become unstable.
As a general guideline, try to keep at least 15% of your drive's capacity free at all times. Use cloud storage or an external drive for large files you don't need to access frequently, such as old photo libraries or archived project files.
If you have an older laptop with a spinning hard disk drive (HDD) rather than a solid-state drive (SSD), upgrading to an SSD is one of the most impactful improvements you can make. SSDs are faster, more durable, consume less power, and generate less heat. We regularly perform SSD upgrades that transform sluggish older machines into responsive, capable workstations.
Upgrading to an SSD and managing storage well are two of the highest-impact improvements for an aging laptop.
7. Pay Attention to What Your Laptop Is Telling You
Laptops communicate through performance and behavior. When something is wrong, the machine usually shows signs before it fails completely. Learning to recognize these early signals is one of the most valuable habits you can develop.
A laptop running hotter than usual or with a fan that runs constantly may have a cooling system that needs attention. Unexpected shutdowns or hibernation at higher battery percentages point to battery degradation. Slow boot times or sluggish application launches after what seems like adequate free space may indicate software accumulation or a failing drive. Strange sounds from the area where a spinning drive would be — clicking, grinding, or ticking — should be treated as an urgent warning to back up your data immediately.
None of these symptoms require immediate panic, but they do require attention. The cost of addressing an issue early is almost always far lower than the cost of addressing a failure that occurred because symptoms were ignored.
A Final Word on Backups
Maintenance is about preventing problems, but no maintenance routine eliminates risk entirely. Hardware fails. Software corrupts. Accidents happen. The single most important safety net you can have is a current backup of your data.
Use the built-in backup tools available on your platform — Time Machine on macOS or File History on Windows — along with a cloud backup service for critical files. Test your backups periodically by actually restoring a file. A backup you've never tested is a backup you can't fully trust.
Your laptop is a significant investment in your productivity and daily life. The habits described in this article require very little time and no special expertise. Adopted consistently, they can extend the useful life of your machine by years and spare you the cost and disruption of avoidable repairs.
